The following Booking Conditions together with the Information contained in our information sheets and on our website form the basis of your contract with Sussex Retreats. Please read them carefully as they set out our respective rights and obligations.

Booking confirmation: Please check your confirmation straight away. It is the customer’s responsibility to make sure all the details shown are correct. If there are any problems please get back to us as soon as possible. On requesting a specific room we will endeavour to allocate said room, but unfortunately there may be circumstances beyond our control that prevent you getting your preferred room. The party leader must be authorised to make the booking on the basis of these Booking Conditions by all persons named on the booking. The party leader is responsible for coordinating all payments due to us. Once we have received your booking and all appropriate payments, we will, subject to availability, confirm your holiday by issuing a confirmation invoice. This invoice will be sent to the party leader. Please check this invoice carefully as soon as you receive it. Contact us immediately if any information which appears on the confirmation or any other document appears to be incorrect or incomplete as it may not be possible to make changes later..

Check in: is between 2pm and 6pm. Whilst we try and have all rooms ready by 2pm there maybe occasions where, due to circumstances beyond our control, there may be some delay. Earlier or late check in can only be accommodated by prior arrangement.

Departure: The workshop is available until 1pm. Please be ready to leave your accommodation by 10am on the day of departure, one of the bathrooms will be allocated between 10am and 1pm.

Settlement: Your bill for any extras or services taken during your stay is payable on departure. For small amounts cash preferred.

Payment: We ask for a deposit of 50% within 7 working days from the date of the invoice. The remaining amount is payable 8 weeks before your retreat. Reminders are not sent. If you book within 8 weeks of the start of your holiday, we will need payment in full.

Deposit for Retreats over 12 months in advance – We ask for a £50 holding deposit per person then a remaining deposit to achieve 50% 16 weeks prior to the start of the retreat. The remaining amount is payable 8 weeks before your retreat. We do not issue reminders for remaining balances. If you book within 8 weeks of the start of your holiday, we will need payment in full. We will write to all guests via email 4 weeks prior to the start of your retreat to provide some further essential information.

Cancellations – Retreats may be cancelled if sufficient numbers are not booked, or there are bad weather conditions. We understand that you may need to cancel. We try to be as fair as possible about this, therefore with ***8 weeks’ notice or more we will return your deposit. Alternatively we can look at rescheduling to the next available dates. Less than 8 weeks’ notice – no refund. A binding contract between us comes into existence when we dispatch our confirmation invoice to the party leader. We both agree that English Law (and no other) will apply to your contract and to any dispute, claim or other matter of any description which arises between us. We both also agree that any dispute, claim or other matter of any description (and whether or not involving any personal injury) which arises between us are subject to the exclusive jurisdiction of the Courts of England and Wales. ***The 8 week or more refund policy does not apply in the event of a threatened or officially declared Pandemic (e.g. Coronavirus or other contagious disease). We will seek to follow the guidance of the NHS and relevant government departments.In those rare and unusual circumstances of threatened or officially declared Pandemic we reserve the right to reschedule your retreat without refund to the next available opportunity not exceeding 12 months from the start date of your booked retreat.

Cost of your retreat: We reserve the right to make changes to and correct errors in advertised or website prices at any time before your retreat is confirmed. We will advise you of any error of which we are aware and of the then applicable price at the time of booking. We reserve the right to increase or decrease the price of retreats at any time. Once the price of your chosen retreat has been confirmed at the time of booking, we will only increase or decrease it in unusual circumstances. Price increases or decreases after booking will be passed on by way of a surcharge or refund. A surcharge or refund will be payable, if our costs increase or decrease as a result of unusual changes to operating costs or dues, taxes or fees payable for services such as regulatory charges or rates. 

Damage and Breakages: You are responsible and liable for any breakages or damage caused while you occupy the room including any accidents that may occur. If any damage is caused you are responsible for up to the full cost of replacement or repair. This applies to the whole property. The costs will be taken from the card used to secure the booking or pay for the stay.

No Smoking or Naked flames: All public areas and guest bedrooms are strictly non-smoking. If smoking has occurred in your room, we reserve the right to charge you for additional cleaning of furnishings, fabrics and loss of revenue due to the room being unable to be used. Due to fire safety precautions, no naked flames including candles or any other form of naked flame are allowed anywhere in or around the buildings. Upon arrival please read the safety information provided in the guest information book and also on the notice board in the workshop.

Special requests and medical conditions: If you have any special request, you must advise us in writing at the time of booking. Although we will endeavour to handle any reasonable request we regret we cannot guarantee any request will be met unless we have specifically confirmed this. For your own protection, you should obtain confirmation in writing from us that your request will be complied. Unless and until specifically confirmed, all special requests are subject to availability. If you or any member of your party has any medical condition or disability which may affect your retreat, please tell us before you confirm your booking so that we can advise as to the suitability of the chosen arrangements. In any event, you must give us full details in writing at the time of booking. If we reasonably feel unable to properly accommodate the particular needs of the person concerned, we must reserve the right to decline their reservation or, if full details are not given at the time of booking, cancel when we become aware of these details.

Insurance: Please be reminded to ensure you take appropriate travel insurance cover.

Force Majeure: Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our obligations under our contract with you is prevented or affected by or you otherwise suffer any damage or loss as a result of force majeure. In these Booking Conditions, force majeure means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.

Complaint: In the unlikely event that you have any reason to complain or experience any problems with your retreat, you must immediately inform us. Any verbal notification must be put in writing as soon as possible. Until we know about a problem or complaint, we cannot begin to resolve it. Most problems can be dealt with quickly. If you remain dissatisfied, however, you must write to us within 28 days of your return home giving your booking reference and full details of your complaint. Only the party leader should write to us. If you fail to follow this simple complaints procedure, your right to claim the compensation you may otherwise have been entitled to may be affected or even lost as a result.

In these uncertain times, we wanted to reach out to you about what we are doing here at The Quilt Retreat to support you and your time while visiting us. 

As the situation around novel coronavirus (COVID-19) continues to evolve, we are doing everything we can to ensure our staff and guests safety.

So far we have observed from reputable sources that a very high percentage of people who have experienced the illness have successfully survived with manageable symptoms.

As it has always been, the safety and security of our guests and team members remains our highest priority. 

In response to the coronavirus, we have taken additional measures following public health authorities to make our cleaning and hygiene protocols even more rigorous:

  1. We are following ongoing briefings and enhanced operating protocols
  2. We have increased the frequency of cleaning our public areas (including door handles, tables & chairs, toilets, etc)
  3. We will continue to adjust food and beverage service in accordance with current food safety recommendations
  4. We have increased the deployment of antibacterial hand washing products.
  5. We are reminding our staff how to maintain the highest hygiene standards.
  6. We’re being extra cautious in terms of any staff member signs of illness, isolating where necessary and going over and above the advice from government and the WHO. 
  7. We are encouraging restrictions on staff holiday/travel.
  8. We will ask guests staying over to bring their own antibacterials products and to handwash in accordance with official guidelines. Compliance is essential.
  9. Finally, we are constantly tracking relevant authorities to make sure that we continue to do everything we can.
At The Quilt Retreat we believe that it is in challenging times like these that the power of hospitality is needed most of all.

The Quilt Retreat greetings protocol is to avoid physical contact. We are encouraging the Namaste greeting which is usually spoken with a slight bow and hands pressed together, palms touching and fingers pointing upwards, thumbs close to the chest.
