Our followers on social media like to view posts of retreat activities especially the ​activities being made and photos of retreat participants. We will post these photos regularly and ask that participants let us know if they do not want their photos on posts. We will reconfirm on the review forms at the end of each retreat.

We may contact you regarding offers and courses.

We may collect your personal information to help us to better understand what you need from us. We use your information to: manage and improve the Website, personalise our services to you, administer and operate your account, process your bookings.Tell you about important changes to the Website and our services, manage customer surveys and questionnaires. Also to check and verify your identity, and prevent or detect crime. In performing checks your information may be disclosed to credit reference agencies, who may keep a record of that information. This is not a credit check and your credit rating will be unaffected. Your personal information is safe with us and will not be released without approval.

What Personal Data Do We Hold?

To provide you with a high standard of care and attention, we need to hold some personal information. This personal data can include:

Pertinent personal conditions primarily related to food consumption and mobility. We will ask for ask for as much detail as relevant regarding food allergies, in-tolerances and preferences.

Personal details such as address, telephone number, email addresses.

Records of consent to release comments and photographs on social media.

Financial Data, where applicable, may include bank account and payment card details. Transaction Data includes details about payments to and from you and other details of products and services you have purchased from us.

Why Do We Hold Information About You?
 
We need to keep comprehensive and accurate personal data about you to provide you with the best possible service.  We will ask you regularly to update your pertinent personal conditions history and contact details.


What Is The Lawful Basis For Processing Your Data?

We will process your personal data in a way that is fair, transparent and in keeping with the law.  We will only process personal data for the purpose for which it was collected, in order to provide you with both the best service and to operate our Retreat.  We will endeavour to maintain accurate up to date records of all our guests.  Therefore, if you are aware that your data is incorrect or needs updating, please notify us accordingly. We will not pass on your personal information for marketing purposes, unless you specifically authorise the information in writing. 

Retaining Information: 

We will retain your records while you are a Retreat guest and after you cease to be a guest, for at least eleven years or the cessation of the Retreat business if before.
We do not retain your financial and transaction data. We use your data only when processing receipts and payments online using Worldpay. They are a large global transaction processing service, and we conform to their security protocols. We destroy your financial data such as credit and debit card numbers immediately upon confirmation of your receipts and payments.
 
Security of Information: 

Personal data about you is held in the Retreat password protected computer system and in a locked manual filing system. The information is only accessible to authorised team members who have been fully trained in guest confidentiality.  Our computer system has secure audit trails and we back up information on site routinely.

Disclosure Of Information:

To provide proper and safe service, we may need to disclose personal information about you to:

Our catering team and operating personnel.

Agents and Third parties as required by law.

We will be accountable for your personal data and make sure that any third parties that we share your data with are held to the same standards.


Access To Your Records:
You have the right of access to the data that we hold about you and to receive a copy.  
Formal applications for access must be in writing to The Owners of the Retreat.


The Right To Object:

You have the right to object to us processing your personal information for certain things, including direct marketing.

The Right To Erasure:

Also known as ‘the right to be forgotten’,  you have the right to ask for your personal data to be deleted.

If You Do Not Agree:

If you do not wish personal data that we hold about you to be disclosed or used in the way that is described in this Code of Practice, please discuss the matter with the owners of the Retreat.
